Required Department Reports for Dues Rebates and Convention Delegation
Below are the forms needed by National Headquarters to maintain a department’s eligibility for dues rebates and to certify delegates for the national convention. Departments are also responsible for ensuring that their chapters have submitted the required Chapter reports.
ELECTION OF OFFICERS
Election reports must be submitted within 30 days of the election. Form may be downloaded here and then when completed, it may be submitted to ROA headquarters by clicking on Submit Button below and attaching completed form to email. FINANCIAL REPORT
A financial report must be submitted annually for the previous fiscal year within 45 days of the end of the department’s fiscal year. Excom Policy E-19 Section 1 mandates that all department’s fiscal years end on 31 December. Financial Report Form may be downloaded by using button below, and then when completed using the submit button form may be attached to email. In addition, include a copy of the email from the IRS noting acceptance of your tax filing. INTERNAL REVENUE SERVICE
IRS reports must be filed annually with copies to national headquarters. Most Departments are eligible to file a 990-N, which is an online, 8-question form. The email received from the IRS stating that their submission has been accepted will also be attached to Financial Report. (If you don’t see one, be sure to check your spam/junk folder.)
MINUTES
A copy of the minutes of each Department Convention must be submitted to national headquarters prior to the National Convention. For assistance contact Tracey Ware, Member Services, tware@roa.org or 1-800-809-9448, ext. 733.
DELEGATES LIST
The Delegates List Form is used to submit a list of Department Delegates for each National Convention. If a department will not be sending any delegates to the convention it should submit a negative report so the national staff will know not to include that department in the delegate votes count.
